In today’s global enterprise, marketers are constantly working to design and improve the effectiveness of core processes and campaigns. Such effective execution often requires management of both internal sensitive documents and activities, along with a variety of external marketing resources from agencies, consultants, or other service providers.

When collaborating on business information, speed and execution are everything. Often times, a marketing team needs to access, share, and collaborate on sensitive information quickly, including large documents and media files that may be too large for email distribution.

When managing a project, marketing staff need to maintain full control over the content shared even after it goes outside the firewall to ensure it remains private and secure. That way, if one of your internal team members or external providers are no longer working on a project, the team would be able to retract said information at any time during the campaign or as soon as a project is over.

How Intralinks Shares Marketing Information Securely

Intralinks’ own marketing team works frequently on ideas and initiatives that require a great deal of communication among our teams and with our own partners. We know that other marketing teams have the same needs as us and are increasingly adopting collaboration tools to address enterprise collaboration challenges and better manage marketing processes with complete control.

We want to share with the rest of the world how our own global marketing team uses our enterprise collaboration solution to securely work on marketing activities. In this new series, we’ll explore how marketers can use secure document sharing in their everyday work lives to coordinate activities, share data, improve processes, and keep information secure.

In this post, we’ll review how our marketing team uses our own platform to streamline translation processes and collaboration on confidential marketing data.

Simplifying the Translation Process

Any global organization at some point or another may come across a need to translate information into another language to communicate with and satisfy clientele, such as translating a webpage, a solutions video, or a use case.

Our own translation services department is tasked with translating an array of materials (oftentimes, containing sensitive information) both internally and with our external translations provider. From the initial translation, comes a review period, an editing round, and then finally, a complete, translated copy ready to distribute. During all of this uploading, editing, and sharing of information, teams are interacting with one another frequently and collaborating on lots of sensitive intellectual property with designated parties.

Within our own platform, our translations manager securely shares large files of sensitive material without the hassle of using e-mail or FTP, and always maintains control over the content through our native information rights management technology. Throughout the localizing assets process, designated parties are using our tool as a central location to upload new documents, send information to other team members for their review, provide feedback using the commenting functionality within the tool, and add new versions of documents when edits are requested. Once a translated copy is approved, a final copy can be shared among relevant team members and then added to our secure central repository where all approved copy is stored and can be accessed by authorized parties.

With the help of a secure content collaboration solution, translated documents and communications can be centralized and controlled (since only authorized users have access to the localized assets) — ensuring that the overall translations process runs smoothly, every time.

From asset creation through to delivery of final translated materials, needless to say, our translation team finds great value in using an enterprise collaboration tool.
