Overview
A US-based venture capital (VC) firm focused on technology investments needed a secure, centralized way to share confidential fundraising materials and portfolio information with current and prospective limited partners (LPs).
Situation
The VC firm typically raises a new primary fund every two years, with each fundraising cycle lasting between 12 to 18 months, depending on market conditions and investment activity. During these periods, the firm engages with more than 70 LPs and prospective investors who require access to fund materials, performance track records and, in some cases, detailed portfolio company financials.
Prior to adopting Intralinks, the firm relied on nondisclosure agreements (NDAs) and password-protected ZIP files sent by email to share confidential documents. While this approach enabled basic information exchange, it provided no control once documents were distributed and created ongoing concerns about unauthorized sharing.
As LPs requested deeper transparency into portfolio performance — including sensitive financial data — the firm’s risk profile increased. Detailed disclosures could potentially reveal investment positions and strategic insights. At the same time, manually managing document access and tracking distribution introduced operational inefficiencies and increased the administrative burden during an already resource-intensive fundraising cycle.
The firm recognized the need for a centralized, secure platform to protect confidential information and make investor engagement more efficient.
Solution
Based on its prior experience with SS&C Intralinks and the platform’s strong reputation as an industry-standard platform for secure fundraising, the firm selected Intralinks Fundraising. The team centralized all fundraising materials within a secure virtual data room (VDR), enabling the team to:
- Apply granular, role-based permissions
- Monitor investor activity in real time
- Maintain full visibility into document access
- Revoke access at any stage of the fundraising process
Although the platform offers extensive customization capabilities, implementation was streamlined with the support of Intralinks' local team, whose English and Mandarin expertise seamlessly supported the firm's mix of English- and Mandarin-speaking investors. Hands-on guidance accelerated onboarding, ensuring the platform was configured to meet the client's specific access control, security and compliance requirements.
By consolidating document sharing and investor engagement within a single, secure environment, the team modernized its fundraising workflow while strengthening governance and control.
Results
Transitioning to Intralinks Fundraising replaced manual, email-based distribution of documents with a secure, centralized workflow. The investment team gained greater confidence in sharing sensitive materials, knowing they retained full control and visibility over who could access documents — and for how long.
Operational efficiency also improved significantly. Eliminating manual processes related to organizing files, managing passwords and tracking email distribution reduced administrative overhead and allowed the team to focus more fully on fundraising strategy and portfolio management.
Building on this foundation, the firm is expanding its use of Intralinks to support co-investment workflows. It is also evaluating Intralinks FundCentre Reporting for investor reporting and communications, as well as DealCentre AI™ for portfolio management, further aligning its technology strategy with its long-term vision.
